Move your customers off the spreadsheet and into a CRM
That customer spreadsheet started as a quick list of names. Now it's forty columns wide, three people keep their own copy, and nobody's sure which one is right.
Where it hurts
You know the file. Somebody sorted it by surname last month and forgot to select all the columns, so half the phone numbers now belong to the wrong person. There's a version on the shared drive, a version on Sarah's laptop, and a version someone emailed themselves in 2023.
Every time you need to find a customer you scroll, squint, and hope. And the moment two people open it at once, one set of edits quietly wins and the other vanishes.
A spreadsheet is fine for twenty customers. Past a few hundred it becomes a place where information goes to get lost.
What I'd build
I'd take your spreadsheet as it stands and load it into a CRM that suits how you actually work; for most small firms that's the free HubSpot CRM or something equally simple. The interesting part is the clean-up on the way in. The obvious fixes are mechanical: shifted rows repaired, names and addresses split into proper fields, exact duplicates merged. But spreadsheets hide messier problems, the same customer spelled three ways, phone numbers parked in a notes column. So I'd add an AI step that reads each awkward row, works out what it's looking at, and proposes the fix or the merge for you to approve before anything's imported. You end up with one clean shared list, and adding the next customer takes ten seconds.
