Online booking systems for small businesses
Half an evening a week goes on text tennis to pin down appointment times, and every so often two get booked into the same slot. A booking system lets customers pick a free slot themselves, if you choose one that actually fits how you work.
Where it hurts
The choice is wider than it looks, and the free options are genuinely good now, which makes it harder to know where to start. At the simple end, Calendly hands someone your link and lets them book an open slot in your calendar. Microsoft Bookings does the same inside a Microsoft 365 account you might already pay for. At the other end sit trade and industry-specific tools built for gyms, salons or garages, with staff, services and resources baked in.
What separates a system that sticks from one you abandon is the boring middle: does it sync both ways with your real calendar so it can't double-book, does it send reminders to cut no-shows, and can it take a deposit when a missed slot actually costs you. A free tool with no reminders and no deposit is fine for a friendly chat and useless for a chargeable hour.
Most people pick on price or the first name they hear, then find it doesn't handle multiple staff, or won't take a card, or fights with their calendar. The fit matters more than the feature list.
What I'd build
This is a chooser page, so my job is matching the tool to how you actually book. If you just need people to grab time in your diary, Calendly or Microsoft Bookings is usually enough and often free. If missed slots cost you, I'll set up deposits and card capture. If you've got several staff, rooms or a class timetable, I'll point you at something built for that, gyms and salons especially. Whatever we pick, I make sure it syncs both ways with your live calendar so double-bookings can't happen, and I set up reminders by text or email to cut no-shows. Then I embed it on your website and tidy the confirmation emails so the whole thing looks like you, not like a stock template.
What changes
- The right booking tool for your trade, team size and budget, free where free works
- Two-way calendar sync so the same slot can't be booked twice
- Reminders set up to cut no-shows, with deposits where a missed slot costs you
- Booking embedded on your site with confirmations that look like your business
