Quote follow up emails that send themselves
You send a quote, the customer says they'll have a think, and then everyone forgets. The job doesn't go to a competitor who was cheaper. It goes to whoever followed up.
Where it hurts
Quoting is the easy bit. The chase is where it falls apart. You mean to ring them back on Thursday, then a job overruns, and by the time you remember it's been two weeks and it feels rude to bother them.
Most people who go quiet on a quote aren't saying no. They're distracted, waiting on a partner, or just busy. A gentle nudge at the right moment is often all it takes, but that nudge depends on you having a spare five minutes and a good memory, and you rarely have both.
So the quotes pile up in a folder somewhere, warm leads cool off, and you never really know how much work you're leaving on the table.
What I'd build
I'd take wherever your quotes come from (Xero, QuickBooks, a spreadsheet, or a quoting tool) and give every quote a follow-up of its own. A check-in a few days after it goes out, another before it goes cold, and a last nudge before it drops off. The difference from a canned sequence: AI drafts each message from the actual quote and anything the customer has said since, so it reads like you wrote it that morning, and it stops or changes tack the second they reply. You see one list of everything still open. If you'd rather press send yourself, it queues the drafts instead.
What changes
- Every quote followed up, every time
- Each chaser drafted by AI from the real quote, not a template
- Everything still open sits on one list
- Follow-ups stop the moment they reply or accept
