Stop losing leads in your shared inbox
A shared inbox where everyone can see everything usually means nobody owns anything. An email gets read, assumed handled by someone else, and quietly dies.
Where it hurts
Three people open info@ every morning. One reads a new enquiry, thinks a colleague will pick it up, and moves on. Nobody replies. The customer goes elsewhere and you never even know it happened.
Then there's the double reply, where two of you answer the same person and look disorganised. Or the message that gets marked as read while you're skimming on your phone, drops off the first screen, and is gone.
The maddening part is you can't tell what's been dealt with. Read doesn't mean answered. There's no way to see, at a glance, which enquiries are still waiting on you.
What I'd build
I'd give the shared inbox structure first: every enquiry gets an owner and a status, so you can see what's open, waiting and done at a glance. Then the part that actually stops the losses: an AI step reads each message as it lands, works out what it is and who should have it, tags and files it, and drafts a reply for that person to approve. Nothing sends on its own; it just means the queue never silently builds and no lead sits unseen for three days. In Outlook or Gmail this runs on top of what you already have, and a busier team can add a proper shared-inbox tool with a note trail.

- AI reads, sorts and files each message as it lands
