Train an AI on your own documents and procedures
Every day someone interrupts you to ask something that's already written down somewhere. In a manual, a policy, an old email, a folder nobody can find.
Where it hurts
The knowledge that runs your firm lives in your head and in documents scattered across drives, inboxes and filing cabinets. New staff can't find any of it, so they ask, and the person they ask is usually you.
General ChatGPT is no help here, because it doesn't know your prices, your procedures, your suppliers, your way of doing things. Ask it about your business and it makes something plausible up, which is worse than not knowing.
So you stay the bottleneck. The answers are all there, but only you know where, and every question that lands on your desk is time you're not spending on the actual work.
What I'd build
The unglamorous first job is mechanical: getting the documents that hold the answers (procedures, pricing, policies, product info, past quotes) into one tidy place, and agreeing exactly what the assistant is allowed to see. Then the AI layer: staff ask in plain English ('what's our warranty on that range', 'how do we handle a refund') and it finds the relevant passage in your material and answers from that, pointing to the source document so the answer can be checked rather than taken on faith. It only knows what you give it, so if the answer isn't in your documents it says so instead of inventing something plausible. I'll keep it private to your business and set it to update as your documents change, so it doesn't quietly go stale.
What changes
- Staff get answers from your own documents in seconds
- You stop being the person interrupted with every question
- Answers cite the source document, and it says so when it doesn't know
- New starters find their feet without constant hand-holding
