Best free invoicing software for small business UK
Nobody wants to pay a monthly subscription just to send a tidy invoice. Free invoicing software exists, plenty of it, but every free tier hides its limits until you hit them, and half the best-of lists still recommend a tool that no longer works in the UK.
Where it hurts
As of July 2026 there are four free tiers genuinely worth a look. Zoho Invoice is completely free (Zoho dropped the price tag years ago), capped at 500 invoices a year and two users, with their branding on your documents. Invoice Ninja gives you unlimited invoices but cut its free plan to five clients in its January 2026 pricing change, which suits a contractor with a couple of regulars and nobody else. QuickFile stays free while your account posts under 1,000 ledger entries a year, and it's proper double-entry bookkeeping, not just invoices. And FreeAgent, full accounting with invoicing built in, is free for as long as you hold a NatWest, RBS or Ulster Bank business account, or a Mettle account you actually use.
The catches are real, though. Zoho's 500 invoices sounds generous until you invoice weekly across a few dozen customers. Invoice Ninja's five-client cap rules it out for most trades. QuickFile's ledger count includes every transaction it posts, not just invoices, so a busy account crosses the line faster than you'd expect. And ignore any list still recommending Wave: it pulled out of everywhere except the US and Canada, and UK accounts can no longer send invoices through it at all.
Then there's Making Tax Digital. MTD for Income Tax went live in April 2026 for sole traders and landlords earning over £50,000, and the threshold drops to £30,000 in 2027 and £20,000 in 2028. Zoho Invoice and Invoice Ninja don't file anything to HMRC, so they'd need pairing with recognised software. QuickFile files MTD VAT directly and is ready for the Income Tax side. FreeAgent is HMRC-recognised for both. If MTD is on your horizon, that difference decides it.
What I'd build
I don't take referral fees, so the recommendation is whichever tool actually fits: your invoice volume, whether clients pay by card, and where you sit with MTD. Then I'd set it up properly, bank feed connected, payment links on the invoice, customers pulled from wherever you already keep them instead of retyped. Where it earns its keep I'd add an AI step that drafts the invoice from the job itself (the email thread, the quote, the site notes) ready for you to check and send, and drafts the polite chase when one goes unpaid. You approve, it does the typing, and a small dashboard shows what's out, what's paid and what needs chasing.
