Connect Shopify to Xero and stop retyping orders
Every Shopify order you take is already a neat little record: what sold, for how much, what tax, what fees. Then somebody types it into Xero by hand and half the neatness is lost.
Where it hurts
The usual routine is a monthly slog. Someone exports a spreadsheet from Shopify, squints at the payout totals, works out which chunk is Shopify's fee and which is yours, and keys a summary into Xero. It takes an evening and it's the kind of job where one fat-fingered number throws the whole VAT line out.
Then a customer wants a refund, and that has to be unpicked in both places. By the quarter's end the two systems disagree by a few pounds and nobody's quite sure which one to trust.
For a shop doing even thirty orders a week, that's hours a month spent turning good data back into worse data.
What I'd build
I'd link Shopify and Xero so orders flow across automatically, usually with a connector like A2X or the direct integration depending on how your VAT and fees work. Each Shopify payout gets matched to the deposit that actually hits your bank, with the sales, the Shopify fees and the tax split out properly. Refunds carry across too. You reconcile by clicking a button that already agrees, instead of rebuilding the numbers from scratch.
