Customers and CRM

Picking a CRM that actually talks to Xero

You add a customer to your CRM. Then you add them again to Xero to raise the invoice. Same details, typed twice, and the two lists drift apart from day one.

Where it hurts

When a customer changes their address or email, you update it in one system and forget the other. Now Xero's sending invoices to an old address while your CRM has the new one, and neither of you is sure which is right.

Over time the two lists diverge badly. Xero has customers your CRM's never heard of. Your CRM has prospects Xero doesn't. Reconciling them by eye is a job nobody volunteers for.

It's double the typing for a worse result: two lists you half-trust instead of one you fully do.

What I'd build

I'd set up a sync between Xero and your CRM so contacts stay in step without you thinking about it. Add or edit a customer in one place and the change flows to the other: name, address, email, phone, all matched up so you don't get duplicates. I'll agree with you which system is the boss for which fields (usually the CRM owns contact details, Xero owns the financial side) so there's never a fight over what wins. Whether I use a ready-made connector or build the link depends on your CRM, and I'll price it honestly once I've seen the pair.

What changes

  • Add or edit a customer once, it updates in both systems
  • No more invoices going to out-of-date addresses
  • Xero and your CRM stop drifting apart
  • Clear rules on which system owns which detail, so nothing fights
As with everything here, you get one number before any work starts; here's how pricing works.
