Estimates that actually work in QuickBooks

QuickBooks has had estimates built in for years, yet most people I meet who use it are still writing quotes in Word and losing track of them entirely.

Where it hurts

The Word quote looks fine, but it's a dead end. Once it's sent, QuickBooks knows nothing about it. There's no record of what's outstanding, no easy way to see acceptance, and when the job's won you're retyping the lot into an invoice.

You also lose the thread. Did they accept? Did you tweak the price? Which version is the real one? The answer is buried in an email chain, and finding it takes longer than writing the quote did.

Meanwhile the reporting that could tell you how much work you've got quoted and pending just isn't there, because the quotes never went into the system.

What I'd build

I'd get estimates running properly inside QuickBooks: a clean branded template, your standard line items and rates ready to go, accepted estimates rolling into invoices without retyping, and progress invoicing sorted if you take deposits. The catch is that statuses only update when a customer clicks the button in the portal, and most just reply by email instead. So I'd add an AI step that reads those replies, works out whether it's a yes, a no or a "can you do it without the extra socket", updates the estimate's status to match and drafts the reply or the invoice for you to approve. The list of pending, accepted and declined stays true, so the reporting on quoted work means something.
