Paperwork and documents

Electrical and gas certificates, signed off before you leave site

The work passes, the customer's happy, and then the certificate sits half-done in a pad for a fortnight because the details are back at the office.

Where it hurts

Gas, electrical, fire, whatever your trade certifies, the certificate is often the last thing to get done and the first thing to go missing. Written on paper on site, meant to be typed up later, forgotten until the customer chases or an inspection asks for it.

When you do type it up, you're working from memory or a scrawled note, which is exactly the kind of record you don't want if anything ever goes wrong. And every certificate has a renewal date that nobody's tracking, so repeat work you should be booking just quietly lapses.

The certificate is the proof the job was done right. Treating it as an afterthought is a risk you don't need.

What I'd build

I'd set up your certificates as forms you complete on a phone or tablet at the job: readings, results, the customer, your details and registration, then sign and send the PDF before you pull off the drive. It files automatically against that customer and property, searchable when an inspection or insurer asks, and for regulated trades I'll match the layout your scheme expects. Then the useful bit: when a certificate records defects or advisories, an AI step reads them and drafts the remedial quote and the covering note to the customer or landlord, ready for you to approve. Renewal reminders flag jobs coming due, so certificate records become repeat bookings instead of lapsed ones.

What changes

  • Certificates completed and sent before you leave site
  • Remedial quotes drafted from recorded defects, ready to approve
  • Every certificate filed and searchable when it's asked for
  • Renewal reminders that turn into repeat bookings
As with everything here, you get one number before any work starts; here's how pricing works.
