Job management software for tradesmen
Jobs on a whiteboard, quotes in your email, job sheets on paper in the van, and invoices typed up on a Sunday night. Job management software promises to hold all of that in one place, if you pick the right one and set it up properly.
Where it hurts
The category is crowded and the names blur together. Tradify, Commusoft, ServiceM8, Jobber, Fergus and a dozen others all claim to do everything. Underneath, they cover the same core: scheduling jobs to your team, quoting, digital job sheets, capturing site photos, and invoicing off the back of the work. The differences are in the detail and the price, and the detail is what bites you six months in.
The honest trade-offs matter. Some tools are brilliant for a solo electrician and overkill for the office of a ten-van firm. Others assume you have a coordinator and feel heavy if it's just you and a mate. Gas and heating engineers need certificates and reminders; a builder needs stage payments and variations. Pick by the shape of your trade and the size of your team, not by which advert you saw last.
Then there's the bit the sales demo skips: getting your existing customers, prices and open jobs into it, and making it talk to your accounts. A job app that doesn't sync to QuickBooks or Xero just moves the retyping somewhere else.
What I'd build
I stay software-agnostic and start from your actual work: your trade, your team size, whether you need certificates, stage payments or fleet scheduling, and what accounts package you're on. From that I'll recommend two or three that genuinely fit rather than the biggest name. Then I do the unglamorous part properly. I migrate your customers and price lists in, set up your job sheet and quote templates, and connect the tool to QuickBooks or Xero so an invoice raised on site lands in the accounts without rekeying. One case worth calling out: the site-photo-to-report flow, where photos your team takes on the job become a tidy customer report instead of sitting forgotten in a phone. I can wire that in so it's a two-tap job on site.
